The Challenge

At the beginning of 2021, the entire Empathy team gathered for the first time for a virtual Kickoff 2021 to celebrate the results of 2020 and to share goals for 2021.

After an exceptional year in which more than 100 new talents joined the company, the Empathy leadership team presented remarkable figures for 2020: a 124% growth compared to the previous year, with an additional 71% growth expected for 2021.

This coincided with a positive trend in the retail industry, which had grown by 30%, and a shift in consumer behaviour online. A positive online shopping experience was essential, reflecting the importance of trust, privacy and the connection between brands. 

Therefore, our goal for this kickoff was to reinforce the message of Trust, a fundamental principle of empathy. We wanted to communicate our culture and values of 'Joy, Understanding & Trust' in an event that would be completely remote due to post-pandemic restrictions, involving over 200 participants, without losing the spirit and motivation to communicate these significant achievements and goals.

Implementation

The first step was to create a well-planned agenda with precise intervention times and to ensure collaboration with a production and camera supplier. We were mindful of the timings, sequences and technical requirements for every minute of the event. Scripting and planning each sequence was crucial.

We set up a temporary studio in our offices with our production partner for the technical aspects. In addition to setting up the studio, we created a video wall. We managed the live production of 200 'zoom' connections from various speakers, incorporating live graphics and multi-camera capture to capture every event detail.

The lighting coordination and sound effects were key to adding dynamism to the set and the event. The result was a full-day corporate streaming event with keynotes, videos and engagement spaces between teams, a motivational and inspirational event to kick off the new year.

My Contribution

The event was part of the objectives of the marketing team. As a Team Lead, my role was to coordinate the event as the main project manager and facilitator with all the teams and people involved. 

  • Preparing the agenda and content programme for the event. Defining the timings.
  • Developing the storytelling that connected all the points of the event. Brand positioning.
  • Align with C-level members, external speakers and guests.  
  • Overseen the deliverables: keynotes, activities, videos and content to be presented.
  • Manage logistics, shipping of materials and production of all assets.
  • Coordinate with the technical team and production, sound and camera suppliers.
  • Final scripts review and rehearsals with all stakeholders and speakers
  • Amplifying and sharing in our social platforms and communication channels

Results

  • Over 200 live connections and video conferences via Zoom
  • Sustained high levels of engagement and participation for 8 hours
  • International scope: Speakers and guests from different countries: Spain, Italy, Portugal, UK, USA.
